The IT Technical Administrator provides operational and administrative support to the Europe IT function, ensuring the consistent and efficient delivery of core IT services across multiple European offices. The role is responsible for key processes including onboarding and offboarding, laptop build and deployment, asset management, IT purchasing, and day-to-day coordination of IT administrative activities.
This is a hands-on position with defined ownership of routine IT operations and controls. The role supports the wider IT team by ensuring that standard processes are followed, records are accurate, and activities are completed in a timely and auditable manner, enabling IT engineers to focus on technical delivery and project work.
A key aspect of the role is maintaining accurate IT asset records and supporting periodic asset validation across EU office locations, ensuring alignment between physical devices and system records in line with company policies and audit requirements (including ISO27001 controls).
The role requires a practical understanding of IT environments, including laptops, user accounts, and standard business systems. It is suited to an individual who is organised, reliable, and comfortable working within structured processes, with strong attention to detail and a focus on accuracy.
While not a highly technical role, it is critical to the effective operation of the IT function, providing consistency, control, and coordination across daily IT activities, with a strong emphasis on compliance, documentation, and process adherence.
Roles and Responsibilities:
1. Onboarding & Offboarding
Coordinate end-to-end onboarding of new starters:
Prepare and configure laptops using standard builds (image, software, security tools, domain join).
Ensure all equipment and access is ready for day one.
Manage offboarding processes:
Collect IT equipment and update asset records immediately.
Prepare devices for redeployment (wipe, rebuild, reassign).
Maintain detailed onboarding/offboarding logs for audit and compliance purposes.
2. Asset Management
Maintain an accurate, complete, and up-to-date asset register in Ivanti (or equivalent system), ensuring all IT assets are consistently tracked and managed in line with company policies and audit requirements.
Ensure all devices are:
Tagged, uniquely identified, and recorded within the asset management system.
Updated promptly when assets are moved, replaced, returned, or decommissioned.
Perform periodic asset validation controls across multiple EU offices:
Coordinate validation exercises with local IT teams and designated office representatives.
Record validation results and maintain evidence for audit purposes.
Investigate discrepancies, identify root causes, and escalate findings in line with IT governance procedures.
Support asset lifecycle management and planning:
Monitor device age, warranty status, and lifecycle stage.
Assist in planning and executing hardware refresh cycles across European offices.
Ensure compliance with IT policies and ISO27001 controls:
Maintain proper documentation and audit trails for all asset-related activities.
3. Laptop Build & IT Administration
Build, configure, and deploy laptops using standard IT processes:
OS installation / imaging via Ivanti
Apply updates, security policies, and naming standards
Rebuild returned devices for reuse, ensuring:
Secure wipe of previous data
Standardised configuration for next user
Perform quality checks before device handover to ensure consistency across all endpoints.
4. IT Purchasing & Vendor Coordination
Support IT procurement activities:
Raise and track purchase orders (CEVs / CAPEX items).
Monitor delivery timelines and confirm receipt of goods.
Liaise with vendors (e.g. CDW, Mutonic, local suppliers):
Follow up on orders, delays, and discrepancies.
Maintain basic procurement and vendor records for tracking and reporting.
5. IT Administrative & Operational Support
Provide day-to-day administrative support to the IT team:
Maintain documentation and records (inventory, processes, logs).
Update internal systems with accurate and timely data.
Support office-related IT activities:
Desk setups, moves, and changes.
Equipment organisation in storage areas.
Assist IT engineers during projects when required (e.g. laptop rollouts, office migrations).
6. Process Compliance & Documentation
Ensure activities (onboarding, asset updates, builds) are:
Consistent
Auditable
Identify gaps or inefficiencies in processes and suggest improvements.
