Subject Matter Expert - Investor services

Investor Lifecycle Management

• Manage end-to-end investor servicing activities for Private Equity funds.
• Support investor onboarding, account setup, amendments, transfers, and closures.
• Maintain investor master data and ensure accuracy of investor records.
• Process investor subscriptions, commitments, capital calls, distributions, and other investor transactions.
• Maintain investor capital account information.
• Review investor documentation and ensure completeness before processing.
• Coordinate with Fund Accounting, Compliance, Tax, and Operations teams.

Capital Calls & Distributions

• Prepare and process capital call notices based on approved fund requirements.
• Prepare and review distribution notices and investor allocation schedules.
• Maintain investor commitment, contributed capital, distributed capital, and unfunded commitment records.
• Reconcile capital activity between investor records and fund accounting systems.
• Investigate and resolve discrepancies in investor balances and transactions.
• Support waterfall/distribution calculations where applicable.

Investor Reporting

• Prepare and review periodic investor statements and capital account statements.
• Support preparation of:
  • Capital account statements
  • Contribution and distribution reports
  • Commitment reports
  • Investor transaction reports
  • NAV statements
  • Quarterly investor reports
  • Investor allocation schedules
• Ensure reports are accurate and delivered within agreed timelines.
• Perform quality checks on investor reporting packages before distribution.

Japanese & Chinese Investor Services

• Support Japanese and Chinese institutional investors, family offices, asset managers, and fund structures.
• Handle client/investor requests related to subscriptions, capital calls, distributions, reporting, and account information.
• Review investor documentation received from Japan/China and coordinate translation or clarification where required.
• Follow client-specific processes, templates, reporting formats, and communication protocols.
• Coordinate effectively with Japan/China-based client teams across different time zones.
• Japanese or Mandarin/Chinese language proficiency is an advantage, particularly for client communication and document review.

KYC / AML & Investor Documentation

• Support investor onboarding and periodic investor review processes.
• Review KYC/AML documentation for completeness and accuracy.
• Work with Compliance/KYC teams to obtain missing documentation.
• Review investor entity structures, beneficial ownership information, tax forms, and supporting documents.
• Support FATCA and CRS documentation requirements.
• Maintain investor documentation and records in accordance with internal controls and client requirements.

Investor Queries & Client Management

• Act as a point of contact for routine investor and client queries.
• Respond to requests relating to:
  • Capital calls
  • Distributions
  • Investor balances
  • Statements
  • Commitment information
  • Transaction history
  • Tax documentation
  • Account changes
• Investigate queries and coordinate with relevant internal teams to provide accurate responses.
• Maintain query trackers and ensure responses meet agreed SLAs.
• Escalate complex or high-risk issues appropriately.

Investor Reconciliations & Controls

• Perform investor-level reconciliations.
• Reconcile capital contributions and distributions with fund accounting records.
• Review investor balances and transaction activity.
• Identify breaks and perform root-cause analysis.
• Ensure all investor transactions are supported by appropriate documentation.
• Maintain audit trails and follow established operational controls.

Tax & Regulatory Support

• Support investor tax documentation and reporting activities.
• Review and maintain W-8BEN, W-8BEN-E, W-8IMY, W-9 and related documentation where applicable.
• Support FATCA and CRS processes.
• Coordinate with tax teams for investor-specific requirements.
• Assist with preparation and distribution of tax-related investor documents.

Required Qualifications

• Bachelor's degree in Accounting, Finance, Commerce, Business Administration, or related discipline.
• 3–8 years of relevant experience in Investor Services, Fund Administration, Transfer Agency, Private Equity Operations, or Alternative Investment Operations.
• Strong understanding of:

  • Investor reconciliations
• Strong Excel and data-management skills.
• Excellent attention to detail and ability to work with high-volume data.

• Ability to work with international clients and meet strict reporting deadlines.

Preferred Qualifications

• Experience supporting Japanese PE funds, Japanese institutional investors, or Japan-based asset managers.
• Experience supporting Chinese PE funds, Chinese institutional investors, or China-based asset managers.
• Japanese or Mandarin/Chinese language skills.
• Experience working with international fund administrators or managed-services providers.
• Knowledge of US GAAP, IFRS, or other international fund reporting frameworks.
• Experience with investor portals and digital investor servicing platforms.
• CA / CPA / CMA / ACCA / MBA Finance or equivalent qualification is an advantage.
